Minutes of Bourne Show Committee Meeting held at 35 Frensham Road on 6^th September 2007

2) Apologies - Received from Sue Bowness  Pippa Goscomb Sally Wooding

3) Minutes of the previous meeting on 9^th July were accepted without alteration.

4) Matters Arising

PH confirmed that St Polycarp’s Hall has been booked for the Party on 19^th January.

PH raised the question of public liability insurance for the Party.

HB to obtain quote from our broker and to report to next meeting.

5) Finance

HB reported on the present state of finances:-

                        Current account     £ 1740.80

                        Reserve account    £ 3229.64

                        Petty cash             £     52.40

                        Total                     £ 5022.84

HB issued preliminary figures for Bourne Show 2007:-

Total Income £2818.28

Total Outlay  £2532.08

Sponsorship cheques from Inchcape Toyota, The Hedgehogs and The Bat & Ball are outstanding, LW and SBW to chase. HB to chase up advertising from The Bridge and Mastercleaners.

Cheques for Alder Valley Brass (£225) and Cuphill Morris(£125) were issued at the meeting.

6) Bourne Show 2007

Action List produced at the Bat & Ball was reviewed, updated list attached to these minutes.

Thank you letters to be sent to Flower Show Judges and Helpers – JK

Cannons Health Club, Hone Landscapes and Macdonald Douglas – PW

It was agreed that a Party Tent should be purchased for use by the Band- SBW

Dog Show registrations to be made available via website, programme and on the morning of the Show to prevent the Dog Show running late and delaying other activities. –PG.

7) Bourne Show Party 2008

Date confirmed as Sat 19^th Jan 2008

No entertainment is currently booked

The following suggestions to be investigated and reported at next meeting:-

Polish Dancers – RW

Surrey Border Film Makers – LW

De Meric School of Dance – SBW

Junior Operatics - ??

Bingo Callers – SB

PH to check with St Polycarps on availability of cups and saucers

List of Party invitations to be reviewed.

Meals on Wheels to be asked for suggested names of housebound pensioners who would appreciate a card and possibly a token gift from the committee

8) Bourne Show 2008

Date confirmed as 19^th July 2008

LW to advise cricket club

JK to advise St Martin’s

PH advised that Farnham Runners had enquired about using marquee in the evening.

It was agreed that they be invited to use it. £200 donation to be suggested.

LW to check with cricket club on the suggestion of the Committee storing equipment in a cupboard inside the Groundsman’s store.

9)AOB

Allocation of Responsibilities- PH and GY agreed to take joint responsibility for sponsorship and advertising.

RG agreed to take over role of Minutes Secretary.

New Committee Members / Helpers – no suggestions.

Meeting with Organisers of other Shows – LW & SBW to attend SBW to liase with other shows.

Event for Young People – GY and PH raised the idea of an event for young people.

After some discussion it was agreed that this should be discussed fully at the next meeting
