Minutes of Bourne Show Committee Meeting held on 17^th October 2007

3) Minutes of the previous meeting on 6^th September were accepted with minor spelling corrections.

4) Matters Arising

Public liability insurance for the Party.

HB reported that Public Liablity Insurance £1M cover for 100 guests would cost £55. Employers Liablity Insurance to cover the Committee and helpers would cost £100. After discussion it was unanimously agreed that both forms of cover be obtained.HB to action

Party Entertainment.

LW reported that Surrey Border Film Makers have a video about Farnham and would be happy to show it on the day. £25 charges to cover expenses.

LW to confirm booking.

No progress with other entertainers SBW to check status of Rock Choir with RG.

If unavailable SJW to follow up school choir.

Bingo Callers –LW to check booking with Sue Bowness

Cups and Saucers for Party.

PH confirmed no crockery included in Hall rental.

GK to check possibility of borrowing from St Martins Hall. LW to to check possibility of borrowing from WRVS.

Marquee Use post Show 2008

PH to liaise with Farnham Runners. £200 donation to be requested.

Storage Cupboard in Groundsman’s Store

 LW reported that cricket club had agreed in principal SBW & PH to agree details with Robin Fromholz. Tel 721529

Meeting with other Show Organisers

No progress, SBW to liaise with other committees.

Event for Young People

following general discussion and agreement in principle, a sub-committee of GK SJW GY & PH to consider ideas and submit suggestions to next meeting.

5) Finance

HB reported on the present state of finances:-

                        Current account     £ 1060.85

                        Reserve account    £ 4229.64

                        Petty cash             £     52.40

                        Total                     £ 5362.89

Overall Bourne Show 2007 likely to show a net loss of approx £100.

Sponsorship cheque from The Bat & Ball outstanding, SBW to chase.

Hedgehogs cheque delivered to HB post meeting.

6) Bourne Show Party 2008

Date confirmed as Sat 19^th Jan 2008

LW advised that Alan Hunt will probably not be helping at the Party

List of Party invitations to be reviewed by WRVS and St Martins.

SBW to check with PG regarding printing of invitations.

SBW to advise new Grace House contact details to CS

7) Bourne Show 2008

LW confirmed Inchcape Toyota are closing down. A new principal sponsor for Show 2008 is therefore needed. SBW to check with Mill Lane Renault. All other committee members to seek new sponsor. £1000 -£1200 target.

9)AOB

It was agreed that the committee should send flowers to Sue Bowness in thanks for her work on behalf of the Committee. GK to action.
