Minutes of the Meeting held on Monday 9th July 2007
SW took the Chair
The Chairman welcomed Pippa Goscombe to the committee
Minutes of the Meeting of 20th June were approved.
Division of Responsibilities – to be discussed after the show SW/SB
Punch & Judy –sponsorship now confirmed
Climbing Wall – confirmed BUT cost involved to be sought promptly PH
Sponsorship: Wii for Grand Draw kindly sponsored by GY
Newsagent, Andre Gawor, had offered £50 – committee to decide CS
how this would be spent. Also, the A4 flyers would
be included in the papers from the Newsagent this weekend. PW
Programme Distribution – This was proceeding in the various venues. PW to take over from LW PW
Grand Draw Tickets & Programme Sales outside the Newsagents in the Bourne
to take place over the weekend of 14th/15th July – Revised Rota inc. in minutes. SB
Tables: 40 from Frensham would be hired at a cost of £50. SW
Silent Auction: No additional items had been offered.
Financial Report:
The Current Account held £219.37 (cheque for £500 to Woodlarks had HB
now been cashed). Reserve account £4,205.12 and petty cash £210.
£190 had so far been received for Advertising – out of the £265 due. Prize money
for the Flower Show and Floats for the Stalls still required.
Stall Bookings 2007: 23 charity stalls; 11 trade SW
Ball Pool and a Bouncy Slide would now be coming with
full insurance.
Show Checklist 2007:
Flower Show and Marquee Exhibits – all confirmed. George Freeman to SB
be asked to prepare the display cabinet. Electric lead to be supplied round
to marquee entrance for use by GK. PH
Opener – Cllr Denise Le Gal – SJW was briefing. SJW
Dog Show – Lucy Hart has nominated substitute – name to be confirmed CS
Karting Kapers or a substitute is confirmed SW
Rubbish Clearance. Last year’s set up worked well. PH will organise PH
Fire Engine – unable to confirm PH
Plant Stall – Up to committee and friends. (See note below) ALL
Cake Stall – Up to committee and friends. ALL
Activity in Marquee – Mr. Lewis will draw portraits – will require space & chair RG
Plant Stall: PH had received a casual offer of a Flower Stall for the show. After
discussion, it was felt that if this was ‘plants’, it would be very unfair on the friends
and helpers who, in difficult circumstances, were trying to gather enough plants to
make a decent stall. Rita Batchelor was once again running the stall, with helpers,
on behalf of the committee. PH was detailed to find out exactly what had been
offered and report to Chairman before taking up the offer. PH/SW
Grand Draw Prizes: Promoter: SW Organiser: LW SW/LW
It was agree to give £100 from committee; other prizes so far include:
Bottles of Champagne, Whisky & Bacardi
Cannons vouchers-one month for two people
Latest Harry Potter – issued 21st July
Sailing lesson from Frensham Pond Sailing Club
Wii (donated by GY)
Dinner for 2 at Frensham Pond Hotel
Dinner for 2 at Bat and Ball
£50 voucher for Bourne Newsagency (Andre Gawor)
NB: After discussion, it was decided that the Wii would be included in the Grand Draw and
that the £50 from Bourne Newsagency should be in the form of vouchers to be used in the Newsagents.
Rota for selling Programmes and Grand Draw tickets outside Newsagents:
Separate monies – Grand Draw tickets/Programmes – if possible. SW to return monies to HB.

Helpers for 2007 Show
The list of previous helpers was checked and committee members asked
to check their availability for this year. Outcome to be reported to SW asap so
that he can make comprehensive rota. ALL
Party 2008: PH to check with St. Polycarps if hall available for 19th January PH
Any Other Business:
Signing for toilets in St. Martin’s Hall still inadequate. PH to have banner made PH
Dog Show – 50p fee for each class PG
Punch & Judy to be in gazebo and to start after finish of Dog Show
Identify guy ropes of gazebos with red and white tape
Gazebos number 8 in total.
Lunch after the Show on Sunday 22nd July at Bat and Ball – let SW know by
beginning of the Show week. ALL
Date of Next Meeting: Thursday 6th September at 8 pm at Paul Hopwood’s,
35 Frensham Road
I have accepted the proposed booking tonight as a trade stall. The lady assures me she is a small local nursery growing drought tolerant plants – not annual bedding plants. She says she thinks it unlikely that her plants will be similar to those on the committee stall. She also agreed to a pitch away from our stall.
