Minutes of the Meeting

 

held on 1 June 2005

 

Present:        Jill Holliday, Chris Smith, Robert Gale, Les Walton, Hugh Batchelor, Sue Bowness, Gill Keighley, Steve Warnock

Previous Minutes:  These were accepted

 

Matters Arising:      HB reported that the insurance quotation for the Show had increased from £150 in 2004 to £300 in 2005.  This was discussed and accepted as necessary.  A donation of £100 was sent to the Guides.  A further gazebo was purchased at a cost of £19.99.

Some bills had been paid and some advertising money had been received.   Expenses for the Show will be more in 2005 as things like the marquee have gone up to £944.

 

Party 2006:   Nothing to report

 

Show 2005:  Sponsorship – Inchcape Toyota have agreed to sponsor the Show for £700.  Abigail Deakin & Co, solicitors, has offered to sponsor the sports at the Show for £100.  Hone Properties are sponsoring the Punch & Judy Show.  We have heard nothing from Sir Ray Tindle as yet.  JH raised the matter of Guy Boyd’s offer to be the main sponsor if Toyota didn’t sponsor us this year, or to be considered for 2006.  It was agreed that JH to ask if they would be interested in sponsoring a particular thing this year such as the main Grand Draw prize, Band or Nike football.

 

                        The checklist was completed with lots of discussion (see attachment).   RG had printed business cards for committee members to give out as appropriate advertising the show and the website.  GK reported on a visit to the Rowledge Fete to compare stalls there – there were a lot of charity stalls but hardly any trade stalls.  Pets as Therapy had been approached as a possible attendee and a face painting stall.  SW to action contact.

                        Advertising - £310 had been received and 6 others needed to be chased as the deadline had passed. JH to action. Uptake much the same as last year, with Toyota offered a full page as they are our main sponsors.  Print set up to be ready for 8 June when PW returns from holiday for programme and posters.  LW & JH to action.

                        PW to ask Goscombes to print forms for Dog Show.  LW to talk to Sir Ray Tindle’s office about insurance on his bouncy castle which Woodlarks borrow for free.  RG to investigate cost of having a bungy run at the show with staff provided and their insurance.

                        Grand Draw – Prizes so far – Cannons membership for 2

                                                Tennis lesson

                                         Pen Drawing of Lion & Lamb yard from SB.                                 Radio controlled F1 model car from SW.                               Promised gifts from Inchcape such as jackets etc.

                        Weydon Expedition to Peru has offered to man ice cream/drinks stall if they can borrow the freezer.  This was agreed with SW checking to make sure this is supervised.

                        Sports – Carol Warnock not available to run the sports or be available after 12 noon to help with set up as in the past.  SW to ask GY’s wife Jube if she would run the sports with a helper.

                        Surrey Crime Prevention will be bringing 2 vehicles.

                        Banner for Fox to be modified by RG, reservoir banner by LW.

                        RG to make master for flyers and give to GY to print 500 in colour, if possible, for delivery in papers the week before the show.

                        Peter Greenyer will not be coming as PA to the Show this year but will ensure that the equipment is delivered and set up as usual.  It was suggested that the Goscombes be asked to take on the PA as they did well at the Dog Show last year.  PW to ask.

                        CS to organise the display of Grand Draw items and sell tickets this year as well as give out prizes after the Show.

                        Ken Milburn away so more help to clear up the Church after the Show will be required.

                        SW requested additional helper overnight for security as there was a bit of trouble last year in the early hours.

                        Plants – PH reported that Lenka Cooke was unable to help organise this.  LW to ask Pewter Greenyer for a contact at Churt Garden Centre which might supply some plants.  RG to put request for plants for stall on website.  SW to ask Carol if PTA might run this for us.

                        Photographic display – last year was such a success that it was decided to run it again.  We could use the photographs our photographer has taken in past year and GY to organise and borrow what he can from where he can!  LW to talk to Chris Sheppard at Rural Life Centre again about old photos.


 

                        Notices and Banners – Banner to be purchased for marquee as can be used each year.  JH donated £50 towards the cost..  SW to print on A1 paper and plastic coat other notices for grounds.  LW, CS and JH to get together to discuss what other signs are required.

                        PH to follow up Sunseekers.

                        Barn Dance is happening on Saturday night – Vanessa Horn is the organiser for parish and JH to liaise with her about tables etc.

 

Any Other Business:         PH to check that we can borrow another gazebo as we need 2 at the top of the green, 1 at the Punch & Judy and 1 for marquee entrance.  PH to confirm tennis competition.

                        Who has the bunting?!!!!!!!

 

Date of Next Meetings:     The next meeting is to be held on 22 June at JH’s house and the following on 6 July at GK’s house.
