MINUTES OF THE ANNUAL GENERAL MEETING

 

Held on Tuesday 8 March 2005

Previous Minutes:  The Minutes for the Annual General Meeting held on Wednesday 12 November 2003 were accepted

 

Treasurer’s Report:           HB pointed out that the accounts covered 2 parties and 1 Show due to the change of Annual General Meeting date, which was altered to keep accounts appropriate to each Show and party within the same financial year.  Accounts therefore looked odd as they covered income from 1 show and expenditure from 2 parties.  From these accounts, HB pointed out that we made a loss of £575, compared to the balance previously of £638.  This was due to the extra party expenditure, loss of sponsor, capital expenditure items and donations.

                        The balance is £3641, minus the loss of £575 making £3065.

                        Show income was £2967, expenditure £1994, profit £973.  Incomes down £200 when taking into account the loss of sponsor.  The Band, the marquee and the Punch and Judy cost more, therefore it was a more expensive show in 2004.  It may be necessary to consider a price rise to meet increases, such as advertising, stall prices and perhaps programme charge.  The advertising costs have not changed much in 3 years, but we do not want to lose any advertisers who see it more as a donation and run every year.  Costs for marquee and flower show are higher than income and that needs looking at too.

                        The Accounts were accepted and signed

                        HB purchased wine and flowers for the honorary auditors.

 

Chairman’s Report:           The loss of sponsor threw us a bit in April. After saying that they would sponsor the Show and with a very keen local Manager, the Directors of Inchcape decided that they could not afford to sponsor the Show.  We had smaller donations from Sir Ray Tindle, whose vintage car was also in the show, from Bourne Newsagents with flyer distribution and sponsorship of the football, and from Hone Properties who have sponsored the Punch & Judy for several years.  It was a nice afternoon, following the usual format.  The committee tent with photographs of the Bourne was well received and was full for the afternoon.  It is something we could repeat as we now have a regular photographer who takes about 80 shots per show.  We allocated helpers for the show more formally and it worked better than previously.  More signs are needed are around the green, many visitors never going into the marquee or church due to poor publicity.  The Grand Draw went well, with the ladies selling tickets around the green taking a lot of money.  The Vintage Cars attract many people as does the football, and the produce in the marquee and flowers in the church looked good, if numbers were a bit down.

                        The party in January was a great success with more than 70 guests taking part much more actively than in the past.  The Chairman thanked all the committee for their effort in this, and particularly the Gale family for their musical contribution.

                        We lost David Crosby this year but have recruited Chris Smith in his place.  We need committee meeting, well attended, with lots of participation and ideas.  The Chairman thanked the committee for all their hard work and enthusiasm, and for members hosting the meetings and providing refreshments.  The Chairman looked forward to another good year of show and party.

 

Election of Officers:           No notice of actual retirement has been received for this year. SW proposed that the committee be re-elected and PH seconded this.  All committee members accepted re-election.

 

Any Other Business:         Date of the next committee meeting to be held on Thursday 17 March to decide on format of 2005 show and perhaps a new event.  The Chairman read an email from PW and a card was signed for her. 

                        The meeting finished at 8.30 pm.
