Minutes of the Meeting

Held on Wednesday 3 November 2004

 

 

Present:        Hugh Batchelor, Jill Holliday, Chris Smith, Les Walton, Steve Warnock, Gill Keighley, Susan Bowness, Robert Gale, Pat Wilkinson

 

Apologies:   None

 

Previous Minutes:  The Minutes of the meeting held on 6 September 2004 were accepted

 

Matters Arising:      A list of capital items was distributed and amended.  A table from St Martin’s may have gone to Scouts HQ or elsewhere when clearing up.  SW to check.

 

Finance:       £50 was been received from the Bourne Newsagents.  Nothing has yet been received from the Parish as a donation for letting them use the marquee, particularly when they made a lot of money.  LW to follow up.  JH to talk to Jane Still regarding using the marquee again next year, particularly if they feel they can have it for nothing.

                        The party tent has still to be paid for from this sum.  PH to action.  £90 is still owed for advertising, but the people have been invoiced. JH to chase.

                        Sponsorship – we still have no sponsor for 2005 costs but should let it be known widely that the marquee is available for hire, setting a minimum of £150-200 or ask for an offer in that region.  LW to talk to Inchcape Toyota.

                        Tesco have a community fund and might be worth asking – RG to action.  Swain & Jones were asked last year and had already committed their year’s funds – LW to find a name to ask.

 

Bourne Show 2005:          Date agreed as Saturday 16 July 2005.  GK to book fairground.  SW has booked band already.  SB to book at Parish office for St Martin’s and Hall and ask if they want to use the marquee for Sunday morning service. SB to write to judges.  LW has booked the marquee.

                       


Flyers need to be sent out to stallholders sooner this year to

make sure more attend than in 2004.  A page to be set up on

website with flyer details (RG action ) and give them out to

anyone we know or see who might be interested.  PW

suggested that a small art group who sell at the College on

Thursday lunchtime might be a good place to give out leaflets.

LW to send CD to RG of 2004 photographs for website.

                        Reminder – website – thebourneshow.com – minutes are available for committee members to view under username stmartins.

 

Bourne Show Party 2005:           Date – Saturday 15 January 2005, 2.30 – 5.30 pm.  GK to ask if we can get into the hall again at 11 am to set up.

                        Bourne Singers have disbanded but reformed in other groups.  Vox is still in action.  RG to make sure some singers are coming to party urgently but Vox thought to be too serious.   FJOS, Farnham Junior Operatic Society, are a bit similar and might come.  Showshack still coming – 3.00 – 3.30 pm.  RG to check out a barbershop quartet, or Kevin Jacko, for the Three Sopranos or something from the Farnham Festival.  JH to ask if St Martin’s Fellowship is coming.

                        LW to organise bus use from Gostrey Club.  SW to coordinate drivers.  Alan Hunt has agreed to make tea again and Peter Greenyer to operate and install PA system.  RG to make sure Caroline still coming to play organ.  GK, Rita Batchelor and Nan Walton to liase regarding catering for party.  PW to supply Bookers card.

                        Lions club are coming for 2 minutes to talk about Message in a Bottle, where details of Doctor, Next of kin etc are kept in a bottle in the fridge for information to medics etc.

                        GK to amend guest list – British Legion and Woodlarks were suggested.  Other suggestions to GK please.

 

Annual General Meeting: This is now in March as previously discussed.  GK to book date and inform committee.

 

Any Other Business:         SB to follow up suggestion of getting the Solent Dog Team to the Show in 2005.
