Minutes
of the Meeting held on
Wednesday
26 May 2004

Previous Minutes: In Bourne Show 2004 section, name

Matters Arising: These would be covered during the
course of the meeting.
Finance: The
committee has purchased an extra gazebo for £25 to enable one at each side of
the Green at the tennis courts end, totalling 3 owned.

Cheques for
advertising were handed to the Treasurer during the meeting.
With the
loss of Inchcape sponsorship, we look likely to make a loss of approximately
£500 this year. PH to approach Vauxhall
on the Ridgway to see if they would like a pitch on the Green for sponsorship,
as Inchcape will not be bringing cars onto the Green this year either. Committee members to look carefully at all
costings.
Bourne Show Party 2005: Bourne
Singers are confirmed for this.
Sponsorship: Inchcape have withdrawn all
support due to poor branch profitability and will not take out advertising or
bring cars for show. We may expect a
little support from the Farnham Herald, approx £100, to be confirmed. JH reported that Andre at the Bourne
Newsagents would like to sponsor an event at the Show for £50. The Nike Football competition was suggested
as a very suitable event and Andre could put up boards to say this was a
sponsored event. It was suggested that
in future Frensham Garden Centre or Camping World might be approached for
sponsorship. PH to talk to Camping
World about borrowing the party tent as they had sold it (to a friend of his)
and might not have another for us to use.
100 years
in the Bourne: A second party tent
would be required for the exhibition of photos and memorabilia. GY to coordinate the material for this and
liase with Margaret Hines and The Bourne Residents Association.
Bunting: We are loaning the Hedgehogs our bunting
for the Carnival and borrowing theirs for the Show.
Millers
Ark: PW reported that
this would cost £400 and it was agreed that we could not afford to use them
this year.
Checklist: LW to get car park key from Cricket Club
well in advance to enable the marquee people access to the Green early on
Friday.
The Church
are using the marquee on Saturday evening for a Barn Dance, selling tickets at
£5 and have been asked for a donation if they make a profit.
HB has
arranged insurance at the same price as last year.
GK to write
to the Mayor to invite her to open the Show.
LW to
invite outgoing Mayor, who viewed the Show as a highlight of her year.
Stallholders
– Arthritis Research Council and Talking Papers are not having stalls this
year.
Programmes
– JH reported that several advertisers had not taken out adverts this year – to
chase Carr Sheppards' as we are holding the back page for them. JH to approach Edgeborough School as
alternative as soon as possible.
Lucy Hart
has been asked to judge Dog Show, as yet unconfirmed. The Goscomb family have agreed to run it.
SW had
investigated costs of Bouncy Castles etc but it was felt too expensive now due
to lack of sponsorship.
Grand Draw
– we need a major prize and it was agreed that LW would purchase a digital
camera for £110-120. PW had a cordless
phone as a prize. LW to organise ticket
printing @ £5 per book.
Ice-cream/drinks
– the Guides were happy to do this but would like to organise it themselves and
keep the profit. It was agreed that
this was fair and we would provide the small freezer on the Green if they
needed it.
Sports –
Carol Warnock to be asked again.
Football –
as there is some doubt about PH being at the Show this year due to work
commitments, SW to organise. Programme
entry and organisation last year worked well.
Maypole
Dancing – South Farnham School has been approached by RG and may be available
if they are not required at Woodlarks.
RG to follow up.
LW to talk
to Swain and Jones about taking their cars onto the Green due to their
involvement with the classic cars.
Flyers are already out to classic car owners.
Face
painting – SB to ask Bourne Players, with CG helping on the day.
Plant Stall
is one helper down and committee to keep preparing plants for sale.
Punch & Judy gazebo (PW’s) got bent, but could
still work in that area.
Weekend of 10 & 11 July a rota to be drawn up to sell Draw tickets outside Newsagents in the mornings.
Helpers
rota was distributed and committee to check availability of people on it and
find other volunteers for Friday evening, Saturday morning, Saturday afternoon
and for breaking down the Show at the end.
Date of Next Meeting: The next
meeting was organised for Wednesday 23 June at Les Walton’s house.
The
following meeting was organised for Wednesday 7 July at Jill Holliday’s
house.
