Minutes of the Meeting held on

 

Wednesday 18 April 2004

 

 

Present:        Jill Holliday, Les Walton, Steve Warnock, Gill Keighley, Sue Bowness, Hugh Batchelor, Paul Hopwood, Graeme Young, Pat Wilkinson, Robert Gale

Matters Arising:      These would be covered during the course of the meeting

 

Finance:       Little has changed with regard to finance over the month with the exception of interest being paid and a variety of cheques handed over at the meeting to be paid in.

Bourne Show Party 2005:           Showshack have confirmed verbally that they will perform at the party.  SW to write with details.

                        The Bourne Singers will also perform.  RG to confirm

 

Bourne Show 2004:         

                        a)         Sponsorship - LW had a meeting with Inchcape Toyota and sponsorship looks promising but has to be confirmed with Head office once the Manager, avid McHugh, has had further background details form LW.  The deal may be confirmed within the month, and may be for about £700.

b)     St Martin’s Centenary - A photographic record of the Bourne Show and the work of the committee is required for an exhibition together with St Martin’s.  Committee to ask friends for photos.  GY to ask the Herald for photos and LW to talk to Chris Shepherd and Sheelagh Greentree.  St Martin’s have requested photos in the Parish magazine.  SW can borrow 3 x 3 display boards, which would need to be used on tables.  It was suggested that we borrow photos and copy them, thus returning them more promptly and covering ourselves in case it rains and the originals get slightly damp and spoiled.  GY to scan photos and manage the display.


 A poster is to be made saying what the Bourne Show committee does with the money it raises, with photos of donations, parties etc and that we provide a platform for all the other local charities who use the Show for fundraising.

c)       Bourne School – Karen Cooper feels that they cannot practise for maypole dancing, as there is a lot of building work going on. PH to phone South Farnham School and see if they would be willing to perform at the Show.

d)     Stallholders – Letters have not gone out as SW was waiting to consult the committee about the existing mailing list, which included over 90 charities, and the letters were to go out after the meeting.  Rita has asked committee members for lots of plants for the plant stall.

e)     Grand Draw – PW has obtained a promise of 2 months free membership for 2 people at Cannon Health Club.  JH had obtained a voucher for Morgan’s Butchers on the Ridgway.  RG to chase Ian Morris of B & Q.  JH to ask the Fox for a meal voucher. LW to procure 2 tickets for Beerex 2005.  It was decided that we should allocate some money for a decent prize as in previous years.  GY suggested that a well written letter to a number (10/20) local large businesses such as Sainsbury’s and possibly Waitrose, offering publicity in the magazine, could bring in some prizes.  Names and addresses/ideas to LW

f)        Programmes – JH had sent out letters in the last week and had received confirmation from 4 so far.  No new contacts had been made so far.  Information would be needed by end of May/beginning of June for programme production as they would need to be in the shops by 17 June latest.  Cover design to be much the same but in different colours this year.  Programmes to sell for 50 p each.

g)     Punch & Judy – Sponsorship of £90 has been agreed with Hone, but the Punch & Judy costs have now gone up to £100.

h)      Website – this is up to date, but it is missing some blurb on wider activities of the Bourne Show.  LW to draw up some text for this.

i)        Marquee – The Parish have confirmed that they would like to use the marquee for a Barn Dance on the Saturday evening – Jonathan Lake (the new musical director) is the contact.  It was suggested that if the church were charging for entry it would be appropriate for us to ask for a donation if they made a reasonable profit.

j)        Bunting – LW has spoken to Hedgehogs regarding this as they wanted to borrow ours for the Carnival on 26 June, and it was agreed that they could borrow ours if we could borrow theirs for the Show.  They are also getting some 8’ poles, which we could use to hang the bunting from.

k)      Dog Show – PW has found a local family who are willing to run the Dog Show.  They are to phone and liase with GK about it.  GK to talk to Lucy Hart about being the judge.

l)        Bouncy Castle – SW has details of a company in Wokingham offering a piece of equipment, a supervisor and insurance for £150 for 4 hours.  He is find out if this would be the price for a large slide as it was considered that a large slide would have a fast turnover and be a big attraction. We would need to have at least 4 people to take money for the rides during the afternoon. If costs were not covered due to a wet day this would not be too much of problem as we have quite a lot of funds and it would keep people on the green longer and entertain the children.  LW and SW to liase on details.

m)   Checklist – GK to produce this for the next meeting.  LW to bring helpers list.  SW to ask at Weydon School for possible helpers, perhaps Duke of Edinburgh students?

n)      Classic Cars – A detail drop was made on 18 March and another will be made on 23 June to car owners.  Discs need to be made for class winners – PW to sort out.

 

Any Other Business –SW to talk to the Guides about our stall and what they would like to do – ice-cream/drinks or whatever. 

                        The Local Scouts Explorer Group covered car parking last year and it was agreed to use them again this year (we gave them a donation of £30 for their services).

                        PW to find out costs and requirements to have Millers Ark at the Show this year.

                        HB to sort out Show insurance.

                        The Rangers with the canon will be at the Show again and better access for them must be made.
