Minutes of the Meeting held on

 

Thursday 13 March 2003

Previous Minutes:  The minutes of the meeting held on 22 January were accepted

 

Matters Arising:      New musical performance licences are no longer an issue as charity events have been excluded.

LW has not emailed committee photos as the file was too large, but several are now on the website – www.thebourneshow.com

 

Finance:       Current Account -    £589.20

Reserve Account - £2047.71

Total                    - £2636.91

 

A letter from 5th Farnham Scouts was discussed as they are asking for funds to refurbish their HQ and make it more accessible for the disabled.  Woodlarks are also raising funds for another vehicle.

As it is yet unclear whether sponsorship from Inchcape Toyota will be forthcoming, and we need a margin of £1500 to cover the Show and Party costs from funds, it was decided that £250 be sent to the Scouts.  This is to be done with as much publicity as we can manage (LW and SW to liase) to let the people of the Bourne know what we are doing with the money we raise.  Further decisions regarding donations to be made once sponsorship details are clearer.

Susan Thompson has resigned from the Committee after 5 years hard work due to work commitments.  LW has written thanking her as the advertising and Dog Show for the Bourne Show have always been in very good hands.  A new committee member is really needed to share the load.  SW suggested that Sue Klatt might be willing to take on the Dog Show, if not to join the Committee.  SW to follow up.

A letter from the WI has been received expressing their willingness to do the teas at the Show again.


 

Bourne Show Party 2003/4

 

                        DC promised an address for the letter to Christopher Lillywhite.  St Joan's Hall has been booked for Saturday 10 January 2004.  GK to continue search for details of Dunlop School of Dance as Irish Dancers were much admired.  CG to organise Acusticks group to attend.  DC to organise St Martin’s Fellowship to attend.

 

Bourne Show 2003

 

                                    LW has spoken to Bourne Residents with regard to their old photos for a potential calendar.  Their photos were originally copied from the Farnham Museum and therefore there might some issues of copyright. 

PH has spoken to Frith Collection company.  They can do A4 drop down calendars in sepia with old photos of Farnham or the Bourne @ £2.70 per 1000 trade price.  For this we could have our logo on the front cover.  PH  asked for costs for 500 rather than 1000 and awaiting sample with potential photos.  Decision to be made at next meeting as long lead-time required for print run.  We have chance to sell calendars before the Show, at the Show and in the months afterwards up to Christmas.

It was suggested that the £100 was used to buy a video or TV, and that a flying lesson from Lasham might be a possibility.

PH to co-ordinate prize list.  SW’s sister-in-law might organise on the day.  All committee to find some prizes.

SW to send letters to stallholders.  Go-kart man has already asked to come (£30 fee to be asked)

Funfair man to be booked by GK. 

PW reported a sponsor for the Punch & Judy Show and has booked the professor from last year.

SW to ask photographer again and give him a brief of what we need (which might be used for calendar 2004)

PH to try for modern and vintage fire engines and demonstration.

Plant Stall – Rita Batchelor will help to run this with a friend – plants please from everyone.

Marquee – Church want to use it for a service on Sunday morning.  ARC does not want it for Sunday afternoon.  If there is sponsorship PH will run a disco for CYI on Saturday evening.  PW to ask if Old Car Club might want it for Saturday evening.

Most Loved Car Cup to be decided by public vote on the day.


 

Web Site:      Feedback and ideas to RG.  Farnham town site points to Show site and it is now on Google.  LW contact name.  Many thanks to RG for setting it up to quickly.  Committee can access archives and minutes with password of stmartins.

Open Gardens:       Margaret Leonard was happy to open her garden but would not be on a sub-committee to organise it.  Too late for this year but committee to look at local gardeners for 2004, a small number of large gardens.  Advertise for an organiser on web site.  Discuss again after Show

 

Any Other Business:         Prices for Stall to be left as 2002 –

                        Orange fencing to be bought for Nike football.

                        Follyoak Donkeys to be approached about donkey rides – GK.

                        Banner required showing where teas are – DC to check prices.
