BOURNE SHOW COMMITTEE

 

Minutes of the meeting held on

 

Wednesday 4 July 2002

 

Present:        Les Walton, Hugh Batchelor, Gill Keighley, and Robert Gale

 

Apologies:  Steve Warnock, Sue Bowness

 

Previous Minutes:  The minutes of the previous meeting were accepted.

 

Matters Arising:      Puttock’s would not insure the Bouncy Castle for 2002 and it was agreed for us to follow-up and se if we could use the bouncy castle belonging to the Farnham Herald which is stored at Woodlarks.

Jubilee Plates – an initial run of 50 were hard to sell on the day but subsequently HB has taken orders and sold not only those but an additional 30+.  Grayshott will perhaps accept another order for 30 more, but it was agreed we would keep a list and if it ran up to 30 we could put another order in for those at a later time.  Profit on orders taken has run to £490.

 

Finance:       Up to date detailed accounts attached.  Net effective balance £3022.27, with reserve account at £2794.01 and current account at £748.25, but plates still to be paid for of £519.99.  HB queried whether we had received all the stallholders’ money and it was stressed that we need to have a definitive list before the Show.  Some advertising money is still owed.  It was agreed to review the income received from charity stalls, with Farnham Lions only giving us £5 to cover the table hire.  LW thanked HB for an excellent set of accounts where all could see how income had been derived.

 

Bourne Show 2002:          There was a discussion about the Grand Draw prizes and it was agreed that there should be a person responsible to ensure that the description actually matches the quality of the prizes.  There should also be a table in place by the afternoon displaying the prizes to encourage ticket sales.  Having made such a good profit from the Jubilee plates there was discussion about how we could follow it.  LW suggested that perhaps David Leggett could be persuaded to paint the Show and for us to take prints of it to sell, with perhaps the original being raffled.  No photographs have been seen from SW’s friend of the Show – SW to follow up.

                        There was some comment made to committee members about the commercial stalls being a bit of a rip off – we need to keep an eye on the balance.

                        Lottery Return form has been completed and sent in (LW).

Bourne Show 2002:          This will be held on Saturday 19 July 2003, the date having been agreed with the Cricket Club.  It was agreed to order the marquee for next year from Carters again – with committee members trying hard to find someone to share it’s use.  SW to ask the Alder Valley Brass Band to play in 2003, as they were so popular in 2002.

 

Bourne Show Party 2003:           Showshack and Farnham Operatic Society have been confirmed as the entertainment.  First Farnham Guides will provide us with helpers for the afternoon as Nicky is taking the local guides to Eurodisney.  The District commissioner, Debbie Muchmore, was keen to be involved.

 

Open Gardens:       We need to pull this information together if we are to get this off the ground in possibly May next year.

 

AGM:              This has been organised at the Locality Office in South Street as in previous years at 7.30 pm on Wednesday 13 November 2002.  It will be followed by a meal at Café Piccolo at approximately 8.15 pm for committee and partners.

 

Next Meeting:          The date of the next meeting will be decided at the AGM, as jobs will need to be allocated for the Party, but it is likely to be in November as well.
